Terms of service

These terms of service ("Terms") govern your use of the CampSuite™ website and application (the "Service") operated by WorkBee Limited ("we", "us", "our"), a company registered in England. By creating an account or using the Service, you agree to be bound by these Terms.
If you do not agree to these Terms, you should not use the Service.
1. The service
CampSuite™ is a web-based campsite management software platform that helps campsite owners manage bookings, pitches, guests, payments and communications. The Service is accessed through a web browser at app.campsuite.net and does not require any software installation.
2. Account registration
To use CampSuite™, you must create an account. When registering, you agree to:
- Provide accurate, current and complete information about yourself and your campsite.
- Maintain and promptly update your account information to keep it accurate.
- Keep your login credentials secure and not share them with others.
- Accept responsibility for all activity that occurs under your account.
- Notify us immediately at hello@campsuite.net if you suspect unauthorised access to your account.
Each campsite should have one account. You may manage multiple sites under a single account where the Service supports this.
3. Free and paid plans
Express plan (free)
The Express plan is free of charge for Certificated Location (CL) and Certificated Site (CS) sites with up to 5 pitches. The Express plan includes core features as described on our pricing page. We reserve the right to modify the features included in the free plan with reasonable notice.
Paid plans
Paid plans are billed monthly in advance. Prices are as stated on our pricing page and are exclusive of VAT where applicable. We may change our prices with at least 30 days' written notice. If you do not agree to a price change, you may cancel your plan before the new price takes effect.
You may cancel your paid plan at any time. Cancellation takes effect at the end of your current billing period. We do not offer refunds for partial billing periods. Upon cancellation, your account will revert to the Express plan if eligible, or be deactivated.
4. Online booking fees
When guests make bookings through the CampSuite™ online booking system, a booking fee of £1.50 per online booking is charged. This fee is added to the booking total and paid by the guest at the time of booking. This fee applies to all plans, including the free Express plan.
We reserve the right to adjust the online booking fee with at least 30 days' written notice.
5. Acceptable use
You agree to use the Service only for lawful purposes and in connection with the management of a genuine camping, caravanning, glamping or holiday accommodation business. You must not:
- Use the Service for any illegal or fraudulent purpose.
- Attempt to gain unauthorised access to any part of the Service, other accounts, or any systems or networks connected to the Service.
- Interfere with or disrupt the integrity or performance of the Service.
- Upload or transmit any viruses, malware or other harmful code.
- Use the Service to send unsolicited communications (spam).
- Resell, sublicense or provide the Service to third parties without our written consent.
- Use the Service in a manner that could damage, disable or impair the Service for other users.
We reserve the right to suspend or terminate your account if we reasonably believe you are in breach of these acceptable use terms.
6. Your data
You retain full ownership of all data you enter into CampSuite™, including guest information, booking records, site details and any other content ("Your Data"). We do not claim any ownership rights over Your Data.
By using the Service, you grant us a limited licence to process Your Data solely for the purpose of providing and improving the Service. We process Your Data in accordance with our privacy policy and, where applicable, as a data processor acting on your instructions as data controller under the UK GDPR.
You are responsible for ensuring that you have the necessary rights and consents to enter guest personal data into CampSuite™ and that your use of the Service complies with applicable data protection legislation.
7. Intellectual property
The Service, including all software, design, text, graphics, logos, icons and the CampSuite™ brand, is owned by WorkBee Limited and is protected by intellectual property laws. These Terms do not grant you any rights to our intellectual property except the limited right to use the Service in accordance with these Terms.
You retain ownership of Your Data and any content you upload to the Service. You grant us a limited, non-exclusive licence to use, display and process your content solely for the purpose of providing the Service.
8. Service availability
We aim to provide a reliable service with high uptime, but we cannot guarantee that the Service will be available at all times or without interruption. The Service may be temporarily unavailable due to:
- Planned maintenance (we will endeavour to provide advance notice).
- Unplanned technical issues or outages.
- Circumstances beyond our reasonable control, including internet service disruptions, power failures, or force majeure events.
We will make reasonable efforts to restore the Service promptly in the event of any disruption. We are not liable for any loss or damage arising from the unavailability of the Service.
9. Limitation of liability
To the fullest extent permitted by law:
- The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose and non-infringement.
- We shall not be liable for any indirect, incidental, special, consequential or punitive damages, or any loss of profits, revenue, data, business opportunities or goodwill, whether arising from contract, tort (including negligence) or otherwise.
- Our total aggregate liability to you for any claims arising out of or in connection with the Service shall not exceed the total fees paid by you to us in the 12 months preceding the claim, or £100, whichever is greater.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by English law.
10. Termination
You may terminate your account at any time by contacting us at hello@campsuite.net or through your account settings.
We may terminate or suspend your account at any time if:
- You breach these Terms.
- We are required to do so by law.
- We discontinue the Service (with reasonable notice).
Upon termination, you will have 30 days to export Your Data from the Service. After this period, we may delete Your Data in accordance with our privacy policy. We will make reasonable efforts to assist you with data export upon request.
11. Changes to these terms
We may update these Terms from time to time. If we make material changes, we will notify you by email or through a notice in the CampSuite™ application at least 30 days before the changes take effect. Your continued use of the Service after the changes take effect constitutes acceptance of the updated Terms.
If you do not agree to the updated Terms, you may terminate your account before the changes take effect.
12. Governing law and disputes
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Before initiating any formal proceedings, both parties agree to attempt to resolve any dispute informally by contacting the other party. We will make reasonable efforts to resolve any complaint or dispute promptly and fairly.
13. General
- Entire agreement. These Terms, together with our privacy policy and cookie policy, constitute the entire agreement between you and WorkBee Limited regarding the Service.
- Severability. If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
- Waiver. A failure by us to exercise or enforce any right or provision of these Terms shall not constitute a waiver of such right or provision.
- Assignment. You may not assign your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations to a successor in the event of a merger, acquisition or sale of assets.
